Hospitality app development for hotels, travel brands and tour operators

Hospitality app development lives or dies on the systems behind the screen: the property management system, the channel manager, the payment provider and the loyalty database. We build guest apps, booking apps and staff tools for hotel groups, travel startups and tour operators in the USA, UK, EU and the Gulf, and we map those integrations before anyone opens Figma. This page sits under our industry app development hub and covers the sector as a whole.

If you already know the app type, go straight to hotel booking app development or travel app development. If you are still choosing between a booking app, a guest app or both, read on.

Where travel and hotel apps go wrong

Most failed hotel apps were not badly coded. They were a brochure: room photos, a phone number and a booking button that opens the website in a web view. Guests download it once, see nothing they could not get from the website, and delete it. Apple’s Guideline 4.2 rejects apps that are little more than a repackaged website, so this kind of app can also stall at review.

The second problem is stale data. Rates, availability and reservations live in the PMS and channel manager. If the app keeps its own copy and syncs it every few hours, you get double bookings, wrong prices and front-desk staff who stop trusting it. The third is the in-trip moment: a guest in an airport with weak roaming data who needs a booking reference, a map and a check-in time. An app that needs a live connection for all three has failed at the moment it matters most.

Good hospitality app development starts by deciding what the app does that the website cannot: mobile check-in, a digital key, chat with the front desk, offline itineraries, member pricing. Then it reads and writes live data through the systems you already run.

Travel and hospitality apps we build

Most products in this sector are one of these, or two sharing a backend and an admin panel.

Hotel booking and direct-booking apps

Search, rates, room selection, member pricing and payment for a single property or a group, written back to your PMS so the front desk sees every reservation. For host-and-guest rental marketplaces, see the cost to build an app like Airbnb.

Travel booking and itinerary apps

Flights, stays, transfers or packages from supplier APIs, with saved trips, offline itineraries and change or cancellation flows.

Guest experience apps

Mobile check-in, digital keys through your lock vendor’s SDK, room service and spa orders, chat with reception, and local guides during the stay.

Tours and activities

Day tours, experiences and attraction tickets with time slots, capacity, guide assignment and meeting-point maps.

Loyalty and member apps

Points, tiers, member-only rates and offers tied to stays and spend.

Staff and operations tools

Housekeeping status, maintenance tickets, task lists and shift handover for hotel teams. Related: car rental app development for mobility operators.

Package travel, pricing and data rules for hospitality apps

General facts to frame discovery, not legal advice. Your counsel decides what applies to your business and markets.

Bundles: the EU Package Travel Directive and UK ATOL

Under the EU Package Travel Directive, in force since 1 July 2018, an app that lets travellers combine a flight, a stay and other services at one point of sale can create a package, and a second booking prompted within a 24-hour window can create a linked travel arrangement. The organiser is then liable for every service, whoever performs it, needs insolvency protection, must give a standard information form, and must let travellers cancel free if the price rises by more than 8%. An amending directive was adopted on 29 April 2026, with member states given 28 months to transpose it. In the UK, the CAA’s ATOL rules apply to anyone selling flights or flight-inclusive packages to UK consumers, including businesses based outside the UK.

For the app, that means the basket must know when it has become a package, show the right form before payment, and record which entity is the organiser.

Total price in the US

Since 12 May 2025, the FTC fees rule has required businesses selling short-term lodging, including platforms and travel agents, to show the total price, mandatory fees included, more prominently than other price information. Resort and cleaning fees belong in the first price a user sees.

Payments, data and accessibility

Rooms and tours are paid through your payment provider, not in-app purchase, and EU and UK cards need Strong Customer Authentication, including for deposits charged later. Passport details and travel history are personal data under UK GDPR, EU GDPR and the UAE PDPL (outside DIFC and ADGM). The European Accessibility Act has applied since 28 June 2025 to e-commerce and transport services, and Dutch government guidance names hotel booking platforms as e-commerce.

Integrations common in hospitality apps

Integration is where hotel and travel timelines slip, so we scope each one as its own workstream with its own risks.

System What the app does with it What usually slows it down
Property management system (PMS) Reads reservations and folios, writes bookings, check-in status and charges Vendor approval, test environments, per-property configuration
Channel manager or booking engine Live rates and availability, rate plans, restrictions Caching rules, rate parity, sandbox data that does not match production. Booking.com expects connectivity partners to support all its API functions and load at least a year of rates and availability
GDS, OTA and supplier APIs Flights, hotels, transfers and activities search and booking Commercial agreement and testing before production access, fare rules, change and refund edge cases
Door lock vendor Digital room keys issued at check-in SDK per lock brand, on-site testing with real doors
Payments Deposits, pre-authorisations, pay-later, refunds SCA flows, saved-card consent, multi-currency settlement
CRM and loyalty Member profile, tier, points balance, offers Matching guests across channels and duplicate profiles

Tour operators: manifests and guide apps

Tour and activity operators run on the departure manifest: who is booked on which departure, where they are being picked up, and what the guide needs to know about them. A guide app is a staff tool built around that list, and it is often worth more to an operator than the customer app.

The guide sees today’s departures only, works offline at the meeting point, checks travellers in by name or QR code, records no-shows, and sends a headcount back when signal returns. Dietary needs, mobility needs and emergency contacts appear only for the guide’s own groups and disappear after the trip, because they are personal data and sometimes health data. Incidents and route changes are logged with time and place, which helps with complaints and organiser liability.

Usually in a v1 guide app

  • Offline manifest per departure
  • Check-in by name or QR
  • No-show and headcount sync
  • Traveller notes, role-limited
  • Incident log with time and place

Scope your hospitality app before you price it

These answers move a hospitality estimate more than screen count.

  • Which PMS, channel manager or supplier APIs you use, and whether you already have sandbox access.
  • Whether the app will combine services (flight plus stay, stay plus tour), which can make you a package organiser.
  • Who the merchant of record is for each booking: you, the property or a supplier.
  • Which markets you sell to, for total-price display, SCA and accessibility.
  • What guests and staff need offline: tickets, itineraries, manifests.

Then put those answers into the app cost calculator for a typical effort range in hours, before integration work is added in discovery.

Security practices for travel and hotel apps

Tested against OWASP MASVS, with extra attention to identity documents, payment flows and keys.

  • Card entry only through the payment provider’s SDK, so card numbers never reach our servers or logs
  • Passport and ID scans stored encrypted, kept only as long as the property needs them, and deleted on a schedule
  • Digital keys issued per stay, revoked at checkout and never cached in plain form on the device
  • Booking references and guest names kept out of push notification text, analytics events and URLs
  • Server-side checks on every rate and price, so a modified app cannot book at a fake price
  • Rate limiting and bot protection on search and booking endpoints
  • Role-based admin access, so a tour guide sees today’s manifest and not the whole guest database
  • Account deletion inside the app, as Apple requires for apps that let users create an account

How we de-risk hospitality app development

The same sprint process described on how we work, with gates specific to travel and hotels.

Discovery with an integration map

One to two weeks. We list every system the app touches, who owns each vendor relationship, and which data is read or written. A fixed price follows discovery.

Integration spike first

An early sprint proves access to the PMS, channel manager or supplier API in a sandbox before booking screens depend on it.

Payment flow review

We decide store-billing scope, deposit and pay-later rules, SCA handling and refunds with your finance team before building checkout.

Two-week sprints with demo builds

Each sprint ends with a TestFlight or Play internal testing build, tested on real devices, including poor-network and offline cases.

Property pilot and launch

A soft launch at one property or route, then store submission and a rollout plan. See mobile app testing services for how we test before release.

Hospitality app development FAQs

Does the EU Package Travel Directive apply to our app?

It can if the app lets travellers combine travel services, such as a flight and a hotel, at one point of sale, or prompts a second booking within a 24-hour window. The organiser then carries liability for every service, needs insolvency protection and must give a standard information form. Selling single services, such as rooms only, usually avoids it. Your counsel confirms where your bundles fall.

Do we need an ATOL to sell flights to UK customers?

If you sell flights or flight-inclusive packages to UK consumers and you are not the airline or exempt, the CAA says you need your own ATOL, and that applies to businesses based outside the UK too. The CAA lists acting as an agent for an ATOL holder among the exemptions, which is one route for a new travel business; your adviser confirms whether it fits. Settle this before you design checkout, because it decides whose terms and protection the traveller sees.

How do we get certified with OTAs, GDSs and channel managers?

Each has its own route. Booking.com, for example, sets onboarding requirements for connectivity partners and expects them to support all its API functions. GDS and airline access terms are set by each provider, so ask for their certification steps and timelines early. These steps can take longer than the code, so start applications in discovery and build against sandboxes meanwhile.

Do tour guides need their own app?

Often, yes. A guide app shows today’s departures and manifests offline, checks travellers in at the meeting point, records no-shows and syncs a headcount when signal returns. Dietary, mobility and emergency details are visible only for the guide’s own groups and deleted after the trip. It shares a backend with the booking app but has a separate, role-limited login.

Does the European Accessibility Act apply to hotel and travel apps?

It can. The EAA applies from 28 June 2025 to covered services, including e-commerce and transport services with their apps and e-ticketing, and Dutch government guidance lists hotel booking platforms as e-commerce. Your counsel confirms scope; we build accessible flows from the first sprint so it is not a retrofit.

How long does a hotel or travel app take to build?

An MVP usually takes 8 to 16 weeks after one to two weeks of discovery. The variables that stretch it are integration approvals, supplier certification and on-site testing for keys or check-in. We separate the dates we control from those that depend on vendors, so you can see where the real risk sits.
